events and private hire

A bespoke trailer, a barista and a full espresso menu, plus smoothies and iced drinks when the weather asks for them. Weddings, festivals, fêtes and markets, Christmas events, corporate days and parties.

Included

what's included

  • The trailer, towed in, pitched and levelled.
  • A barista on the machine for the whole booking — more than one where the headcount needs it.
  • The full espresso menu, made to order, plus teas and hot chocolate.
  • Smoothies and iced drinks for when the sun turns up.
  • Freshly made pastries alongside the coffee.
  • Compostable cups, lids and stirrers.
  • Set-up before your guests arrive and a full clear-down afterwards.
  • PAT-tested equipment.
  • Insurance certificates on request.
The WoldCoffee events trailer, a converted wooden horsebox with a black roof, pitched on gravel with its serving hatch propped open and a barista at the counter. Behind it stands a Cotswold stone house with a cupola on the roof.
Trading at Lodge Park, a National Trust property near Sherborne.

From you

what we need from you

Power is the one that matters to us, and it is a smaller ask than it used to be. The rest of this list is just so the trailer can get in and stand somewhere level.

  • Somewhere to plug in within reach of the pitch — a standard 13A socket is enough, 16A or 32A if you have it, or a generator.
  • A pitch on firm, level ground, clear of your guest route.
  • Vehicle access to the pitch for the trailer and the towing vehicle.
  • An agreed arrival window, confirmed with the venue rather than assumed.
  • Somewhere to dispose of waste water if the venue has it — we take it away otherwise.

Coverage

where we work

We are based in Chipping Norton and cover the Cotswolds, Oxfordshire, Gloucestershire and Warwickshire week in, week out — and we travel across the south of England for everything else.

If your venue is further afield, do feel free to ask. Tell us where it is and we will see what we can make work, with the travel already in the price.

The same trailer and the same team also cover craft services for film and TV and workplace coffee.

How we buy the coffee, what we serve it in and where the waste ends up are all set out on our ethos and sustainability page.

Pricing

rates

Price depends on the date, the location, the hours and how many people we are looking after. Send us those and we will put together a price for the booking as a whole.

Questions

event hire, answered

How much does a coffee van cost to hire?

It depends on the date, the venue, how long you need us and how many people we're looking after — a two-hour drinks break is a different job from a full day. Send us those and we'll price the booking as a whole.

Do you need power and water at the venue?

Power only, and not much of it — a standard 13A socket will do, or 16A, 32A or a generator. We carry our own water, so the venue doesn't need to find us a tap.

What do you serve?

A full espresso menu and the speciality coffees, a proper choice of teas, chai lattes, matcha and hot chocolate, plus smoothies and iced drinks, with freshly made pastries alongside. Tell us if the day looks like a hot one and we'll lean the menu towards the cold drinks.

How much space does the trailer need?

Firm, level ground clear of the route your guests walk, plus room for the towing vehicle to get in and back out again. Send us a postcode and a photo or a site plan of the pitch and we'll happily check the access for you before you book.

How far do you travel for events?

We're based in Chipping Norton and cover the Cotswolds, Oxfordshire, Gloucestershire and Warwickshire as standard, and we travel across the south of England for the rest. If you're further afield, do ask — tell us where the venue is and we'll see what we can make work, with the travel in the price.

Can you serve alongside a bar or another caterer?

Yes, and it's normal. We serve from the trailer rather than borrowing anybody's kitchen, and we're not after the same counter. Send us the running order and we'll set our times with the venue and the other suppliers beforehand.

How do I book, and what do you need from me?

Send the date, the venue and roughly how many guests you're expecting and we'll come back with a price and what we need from the pitch. The date is held once you've confirmed in writing, and we'll send insurance and equipment test certificates to the venue on request.

we would love to be there

Send us the date, the venue and roughly how many people you are expecting, and we will come back with a price and the couple of things we need from the venue.
